First check whether an existing feature or a process change can do the job. Custom work needs enough recurring volume, delay, or rework to justify the full cost, plus a named owner. Then define the inputs, outputs, systems, and exceptions. The written quote fixes scope and price.
Test inside the real operation
Use representative work, including missing information, conflicting records, and failed connections. Compare all staff effort before and after: preparation, checking, corrections, and exceptions. A draft that takes longer to fix has not solved the problem.
Make the handoff part of the build
A finished sprint includes the scoped system, integrations, operating instructions, and team training. Agree who handles exceptions, how staff continue if a connection fails, and who maintains it after launch. You own what we build; ongoing support is optional.
